The processing of personal data in relation to customer and employee surveys

What personal data do we collect and from whom do we get it?

The personal data that IC-Potential collects and processes to carry out a customer or employee survey varies between different surveys, but in most cases we collect the respondents name and e-mail address to conduct surveys via e-mail. In employee surveys we also collect information regarding who the respondents closest manger is, and whether the respondent has staff responsibility or not. In customer surveys we usually collect information about which company the respondent works with and what role the respondent has with the company. What personal data we process for a specific survey is stated in the invitation e-mail. We always collect the personal data we need from the customer who hired us to conduct the survey. The customer is the data controller and IC-Potential is the data processor.

Legal basis and the purpose of the survey

The legal basis for us to process your personal data is the legitimate interests pursued by the controller. The customer who ordered the survey believes that it is their legitimate interest in processing your personal data to conduct the survey. The aim of the survey is to facilitate the development of prosperous, committed and customer-oriented employees and / or to improve their offer to customers.

Why we process your personal data, how long it will be stored and who it may be shared with

The personal data is collected from our customer and processed by us to enable the distribution and implementation of the survey, analyze the results for different demographic groups, and to help the respondent if they have any questions related to the survey. The personal data and its connection to the respondent’s answers will be saved for 90 days after the survey has been closed. Only IC-Potential will have access to the personal data and its connection to the answers. The personal data of the respondents who have chosen not to participate in the survey will be deleted immediately when the survey closes, usually three weeks after the first invitation has been sent out. When the personal data has been deleted, the link between the respondents and their answers will no longer exist. The result from the survey will be presented to the customer at an aggregated level with all the identifying factors removed. We do not share your personal data with third parties, unless we are required to do so by law. We will never transfer your personal data to a non-EU country.

Your rights

You own your personal data. The participation in a survey is always completely voluntary. You have the right to contact us if you want to know which of your personal data we keep, request a correction, a transfer of your personal data, if you want us to limit, or object to our processing of your personal data. You also have the right to request a deletion of your personal data or if you want to withdraw your consent to participate in the survey (withdrawal of consent will not affect the legality of the processing of your personal data before the withdrawal took place). Any requests can be sent via e-mail to info@ic-potential.com or by contacting us at 08-410 809 00. You can also reach our Data Protection Officer at dpo@ic-potential.com. If you request that we delete your personal data, we may have to save your answers to not affect the results of the survey. In that case, the answers we be saved without any of the identifying factors that could lead back to you and all your personal data will be deleted. If you have any complaints about our processing of your personal data, you have the right to contact the supervisory authority Datainspektionen.

Opt out

When we conduct customer surveys, there is always an Opt-Out link in the invitation letter. If you do not want to participate in the customer survey and do not want any reminder of it, click this link. When you do, your Opt Out will be registered in our database and we will delete your information.

What personal data do we collect?

When you contact us via e-mail, either through the contact form on this website or if you send e-mail directly to any IC-Potential employee, will we record and store your e-mail address and other personal data you have chosen to include.

Legal basis and purpose of the processing of your personal data

The legal basis for the processing of your personal data when you contact us is, in most cases, legitimate interest. Sometimes we use a different legal basis for the processing of your personal data in an e-mail, e.g. if your employer has chosen to hire us and you become our contact. In these cases, we will send you additional information regarding the processing of your personal data.

For how long do we save e-mails and who has access to the personal data in the e-mail?

How long a specific e-mail will be saved is determined by the content of the e-mail and how quick we are to respond to your questions in a satisfactory manner. The main principle is that we do not use our inbox to store information, and we always delete an e-mail when the current subject is completed.

All of IC-Potential’s employees have access to the inbox that is connected to the contact form on our website. E-mails sent to a specific employee may be shared with other employees if necessary. We do not share your personal data with third parties, unless we are required to do so by law. We will never transfer your personal data to a non-EU country.

Anonymity

All of our employee surveys are anonymous. In some cases, we conduct non-anonymous exit surveys and customer surveys. Here we answer the most common questions about anonymity.

Where are my answers stored?

Once you have submitted your replies from the survey, they are stored in IC Potential's database. The database is hosted by Amazon and located in Sweden. Only IC-Potential's employees has access to it and we never ever reveal individual answers. All employees at IC-Potential have signed a confidentiality agreement and we work under strict rules from our industry organization ESOMAR.

Is it possible to identify my specific answers?

No. The responses are presented at an aggregated level to our customer in the form of a PowerPoint presentation as well as through access to our web-based analysis tool. The analysis tool has an anonymity limit that makes it impossible to see the results for smaller groups than what is allowed. The limit varies between surveys but is always stated in the e-mail invitation, in most cases it is set to 5 people. Your answers are always part of a larger whole. Some customer surveys however, are non-anonymous. In those cases, your answers are distinguishable. Employee surveys are always anonymous.

What about open answers?

Open answers submitted in the survey are presented unedited to our customer after the survey closes. A stricter anonymity limit applies to open answers and it is only possible to look at the answers either for the entire company or broken down by department. The customer can not use other demographic data to look at the open answers from a specific group.
